# Agency billing

Your agency's one subscription, itemised by client workspace, with seats, the next full cycle and how to set up payment.

Agency billing shows the single subscription that covers your agency and all of its client workspaces. It is separate from a workspace's own [Billing](/docs/settings/billing) page. For plan prices, see [Billing and plans](/docs/billing-and-plans).

## Who can open it

Any member of an agency on the **Pro** plan.

## This cycle

The **This cycle** table lists every line on the current invoice, with the cycle's dates above it. **Full** is the line's normal monthly price and **This cycle** is what it costs in this cycle.

A workspace added partway through a cycle is prorated, and the line says the date it started from and the percentage of the cycle it covers. A workspace in one of your plan's included slots appears as a line at £0.00 rather than being left off. **Total** is the sum of the This cycle column.

Press **Export invoice** to download the invoice as a CSV file. During a free trial, the page states the date it ends and that nothing is charged before then.

## Payment

**Payment method** shows whether a card is on file. Press **Set up payment** to go to Paddle, which takes the card and acts as merchant of record, so no card details reach PYLO. To settle a balance another way, email support@pylosystem.com.

**Next full cycle** is every line at its full price, with no proration.

## Client workspaces and seats

The **Client workspaces** table shows each workspace as **Included in plan**, **Billing**, **Not set up for billing** or **Archived**, its price, and its seats against the included allowance, with any seats over it. Your plan includes a set number of workspaces; each one beyond that is charged at a flat monthly rate. The slots belong to the account, so archiving a workspace frees its slot for another.

To archive a workspace, press **Archive**, then **Archive it**. Its line drops from the invoice straight away, the current cycle is not refunded, and every record is kept. **Restore** brings it back. [Clients](/docs/agency/clients) offers the same controls.

The **Seats** section shows each live workspace's seats against its cap. Seats beyond the allowance are charged at the per-seat rates stated under the table. Your own agency seats are free and never count against a cap.

## If a payment fails

A failed payment is retried first, and nothing is restricted. If it keeps failing, the account becomes read only for about seven days: you can open and export everything, but new records and plan changes are paused. About seven days after that, access locks until the balance is settled. No data is deleted at any stage.

## Managed accounts

If PYLO manages your account, your plan is marked **Managed by PYLO** and there is nothing to pay.
