# Getting started as an agency operator

How agency operators use Agency OS to run several client workspaces from one place, and what to do first.

Agency OS is where an agency runs all of its client workspaces from one place. Each client has its own workspace, with its own team, pipeline and settings, and Agency OS sits above them with combined figures, a shared team view, one billing account and the tools for adding and managing workspaces. It lives under `/agency` and is part of the Pro plan.

## Who can open it

You can open Agency OS if you are a member of an agency and that agency is on Pro. If you are a member, **Agency OS** appears at the top of the sidebar in your client workspace. If your agency is on Basic, opening it sends you to My Board with an upgrade prompt. See [Billing and plans](/docs/billing-and-plans).

Some actions are for agency operators only. Renaming the agency in [Agency settings](/docs/agency/settings) is one: anyone else sees the message "Only an agency operator can rename the agency."

When you switch from Agency OS into a client workspace where you have no seat of your own, you see that workspace with owner access. Your agency seats are free inside every client workspace and never count against that client's own seats.

## Moving between Agency OS and a client

- From a client workspace, choose **Agency OS** at the top of the sidebar.
- From Agency OS, choose **Switch to client** at the bottom of the sidebar, or use **Switch** beside a workspace on [Clients](/docs/agency/clients) to go straight into its dashboard.

## Your first day

1. **Check your plan and payment.** Open [Agency billing](/docs/agency/billing). It shows one subscription for the agency, itemised by client workspace. If you are in your free trial, it says when the trial ends. Choose **Set up payment** to add a card through Paddle, who act as the merchant of record, so no card details reach PYLO.
2. **Add your client workspaces.** On [Clients](/docs/agency/clients), choose **Add workspace**. Before you confirm, the form shows what the new workspace costs and your new monthly total.
3. **Set each workspace up.** Switch into each workspace and work through its setup steps on Home. See [Getting started as an owner](/docs/getting-started/owner).
4. **Check integration health.** [Agency integrations](/docs/agency/integrations) lists which workspaces have a connection that needs a person, worst first.
5. **Rename the agency** if needed, in [Agency settings](/docs/agency/settings).

On the Ledger, PYLO never invoices or moves money. You mark a statement sent or paid once you have done it yourself.

## Archiving a workspace

On [Agency billing](/docs/agency/billing) you can archive a workspace you no longer run. Its line drops from the invoice straight away and the current cycle is not refunded. Every record is kept, and you can restore it at any time, after which it bills again. Archived workspaces are listed on the Archived tab of Clients.
