To do

The agency's shared to-do list, grouped into today, this week and this month, and kept apart from any one client workspace.

The To do screen holds agency work that does not belong to a single client workspace. Tasks sit in three columns by horizon: Today, This week and This month.

Who can open it

Any member of an agency on the Pro plan. The list belongs to the agency, so every operator in the agency sees and works on the same tasks.

Adding and finishing tasks

  1. Type a task into the box at the top of the column it belongs in, for example Add to this week.
  2. Press Enter or the plus button. The task appears at the top of that column, and the column header shows how many open tasks it holds.
  3. When a task is done, click the check box to its left. It moves out of the column into the completed list.
  4. To remove a task, click the cross on its right. This deletes it rather than completing it.

If a change cannot be saved, the list puts the task back as it was rather than dropping it.

Completed tasks

Below the columns, Completed shows how many tasks are finished. Click it to open the list, newest first. Each completed task shows its column and the date it was finished, and you can delete it from there too. The header at the top of the page counts active and completed tasks.

Tasks with a figure

Some tasks are tied to a figure, such as a rate or a count, and a target for it. Under the title of those tasks PYLO shows where the figure stands now for the current calendar month. When the target has been reached the line turns green and says so.

Reaching the target does not tick the task for you. Met and completed are separate facts, so a task can be met but still open, or ticked without the target being met. If PYLO cannot read the figure for the month, the line says why instead of showing a number.

A target not yet met is never shown in red, because a task in progress is the normal state of a task.

What the figures mean

Each explanation below is generated from PYLO's metric registry, the same source Ask PYLO and Claude quote from, so the docs and their answers always agree.

Today

Period, unless a figure says otherwise: Bucketed on the call's scheduled time, converted to Europe/London before the date is taken. Both ends of the period are included.

Show rate

Live calls as a share of live calls plus no-shows. A cancelled or rescheduled call is in neither side.

  • Counts: Live calls, out of Live calls plus no-shows.
  • Leaves out: Cancelled calls are in neither side. Rescheduled calls are in neither side. A close written with no call behind it (was_a_call false) is not a live call. Voided calls (test, duplicate, spam or other) are left out of every count.

Close rate

Closes as a share of live calls. A cancelled or rescheduled call is in neither side.

  • Counts: Closes on live calls, out of Live calls.
  • Leaves out: Cancelled, rescheduled and no-show calls are in neither side. Closes made over DM or recorded as a payment only are in neither side. Voided calls (test, duplicate, spam or other) are left out of every count.

Progress to goal

Cash collected against the workspace's monthly goal. Null, never zero, when no goal is set, and above one when the goal was beaten.

  • Counts: Cash collected, out of Monthly cash goal.
  • Period: Bucketed on the payment's paid_at date in Europe/London. A refund is netted out on its own refund date, so a past period is never rewritten.

Average cash per deal

Cash collected in this period divided by the deals closed in it. The numerator is money received and not revenue booked, so this is not the mean of a revenue figure.

  • Counts: Cash collected, out of Closed deals.
  • Period: Bucketed on the payment's paid_at date in Europe/London. A refund is netted out on its own refund date, so a past period is never rewritten.

This week
