Agency OS
Deal ledger
Record each client's deal terms, see what they owe each month line by line, track referral fees and follow client economics and your agency's P&L.
The Ledger works out what each client owes your agency under its deal and shows every line of the sum. PYLO never invoices, handles tax or moves money; you mark statements sent or paid yourself.
Who can open it
Agency operators on an agency with the Pro plan. If the page says the ledger is not available yet, PYLO switches this on for your workspace.
Recording deal terms
- In Record deal terms, pick the client workspace. Amounts use its currency.
- Choose the kind of deal and fill in its fields.
- Set the From date, and a to date if the deal ends.
- Choose Verified cash or Legacy basis, and whether refunds reduce the statement, then press Save terms.
| Kind of deal | What the client owes for the month |
|---|---|
| Retainer | The monthly retainer |
| Share of cash collected | Your share of cash collected |
| Share of revenue | Your share of revenue closed |
| Share of profit | Your share of cash less the month's costs in Costs |
| Share above a baseline | Your share of cash above the baseline |
| Setup fee | The fee, in the month the terms start |
| Retainer floor or share, the greater | The retainer or your share of cash, revenue or profit, whichever is higher |
If refunds reduce the statement, the month's refunds come off first. A profit share with no costs recorded is not worked out, and says why.
Statements
Pick a month and press Show. Each client with terms covering that month gets a statement with every line behind it. Payments in another currency are left out and noted. Set each statement to Draft, Sent or Paid. If the figures move after you mark one, the difference falls on the next statement. Totals are per currency, never combined.
Referral fees
Use Record a referral fee to note who referred a client and whether they earn a fixed fee, once or a share of each month's cash. A fixed fee falls due in the first month the client's cash arrives on or after the start date; a share is due monthly on that month's cash.
Client economics
Over the last twelve months, each client shows its income under its terms and how many months it has been a client. With six months or more, it shows whether the last three months trend up, down or flat against the three before. A month where income fell below half of an earlier peak is flagged.
Agency P&L
Per month and currency, Income is what your clients owe under their terms, Agency costs comes from the Costs register of your agency's own workspace, and Profit is income less costs. With no agency workspace set, income is shown alone.
What the figures mean
Each explanation below is generated from PYLO's metric registry, the same source Ask PYLO and Claude quote from, so the docs and their answers always agree.
