Costs

Record what your workspace spends and see the margin left after commission, ad spend and costs.

Read as Markdown

Costs and margin shows what your workspace spent in a period and the margin it leaves. You record costs in a simple register, and PYLO nets them against revenue, commission and ad spend it already holds.

Who can open it

Owners, admins and ops. Anyone else who opens the page sees a note that costs are for admins and owners, and nothing else. There is no plan restriction.

The page opens on the last full calendar month, because costs usually arrive monthly and a margin over the first few days of a month reads like a collapse.

How margin is worked out

Margin is revenue less commission, ad spend and costs, worked out separately for each currency. What margin is made of lists the four terms:

TermWhere it comes from
RevenueSucceeded payments with a paid date in the period, in the currency each was taken in, using the amount actually collected where it differs
CommissionCommission owed on payouts recorded for periods inside the dates
Ad spendDaily ad spend recorded against your campaigns in the period
CostsThe costs in your register dated in the period, in the currency you entered

Revenue and commission are counted on the same cash basis, so the difference between them is meaningful.

The cost register

Under Cost register, add a cost with:

  • What it was, a short label
  • a category: software, contractor, advertising, payroll or other
  • the date
  • the Amount, which cannot be negative
  • the Currency it was paid in
  • optional Notes

The table lists each cost in the period with its category, date and amount, and each one can be removed. PYLO records what the workspace spent in the currency it was paid in. Receipts, bank feeds and VAT are a job for your bookkeeping tool.

Common questions

Why does margin show no figure? PYLO will not show a margin that leaves a term out. Ad spend is recorded without a currency, so when there is ad spend in the period the margin line says it cannot be placed rather than subtracting only some of the costs. Commission is in a single currency only when all of the period's payments were taken in one currency. If you took payments in two currencies, or none, commission cannot be placed either.

Why does the page say nothing was recorded? No revenue, commission, ad spend or costs fall between the chosen dates.

Why can I not record a cost? If the page says the cost register has not been created yet, contact PYLO support: PYLO switches this on for your workspace. Until then no cost can be recorded and no margin is drawn.

What the figures mean

Each explanation below is generated from PYLO's metric registry, the same source Ask PYLO and Claude quote from, so the docs and their answers always agree.

Costs and margin

Revenue

Cash collected in the period, on paid_at, per currency. The currency is the one each payment was taken in, which payments records per row.

  • Shown to: owners, admins and ops.

Margin

Revenue less commission, ad spend and costs, per currency and never combined across currencies. Null, never a partial difference, whenever any of the four terms could not be placed on that currency.

  • Shown to: owners, admins and ops.

What margin is made of

Revenue

Cash collected in the period, on paid_at, per currency. The currency is the one each payment was taken in, which payments records per row.

  • Shown to: owners, admins and ops.

Commission

Commission owed on the period. Placed on a currency only where the workspace took payments in exactly one, and stated as unplaced otherwise, never assumed onto the pricing currency.

  • Shown to: owners, admins and ops.

Ad spend

Recorded ad spend in the period. Never placed on a currency, because campaign_daily_metrics records none and there is nowhere to derive one from.

  • Shown to: owners, admins and ops.

Costs

What the workspace recorded spending in the period, per currency. Costs are recorded in the currency they were paid in, which is not always the workspace's pricing currency.

  • Shown to: owners, admins and ops.
