Templates

SMS, email and WhatsApp templates in one library, used by workflows, broadcasts and replies in Conversations.

Read as Markdown

Templates are the messages you send again and again: webinar reminders, call confirmations, no-show follow-ups. Write each one once here, and pick it from a workflow step, a broadcast or the reply box in Conversations.

Starters

The library comes with starters written for webinar and sales call funnels: reminders before the event, a doors-open message, a replay, a call reminder and a no-show follow-up, for SMS and email, plus WhatsApp versions. Copy one into your library and change the words to sound like you. A starter is never sent as it is.

Writing a template

  • Name and folder. Folders keep a big library tidy, for example Webinar or Calls.
  • Merge fields. Press a field to put it where the cursor is, such as {first_name} or {join_link}. Your custom fields are offered too. A field PYLO does not know is flagged, because a contact without it would be skipped.
  • SMS shows how many parts the text takes as you type. Links on public shorteners are flagged, because carriers filter them.
  • Email needs a subject. Write it as plain text or as HTML. The unsubscribe footer and your postal address are added when it sends.

Using a template copies its words into the workflow step or broadcast. Changing the template later does not change what is already live, so a published workflow never shifts under you.

Each template shows how many times it was sent in the last 30 days. Archive hides a template from the pickers without touching anything that used it.

WhatsApp templates

Meta only lets a business start a WhatsApp conversation, or write after 24 hours of silence, with a template it approved first.

  • Choose a category: utility for reminders and updates, marketing for offers and invitations, or authentication for codes. Meta prices each category differently.
  • Variables are numbered ({{1}}, {{2}}) the way Meta wants. Pressing a merge field adds the next number and maps it to that field.
  • Submit to Meta sends it for approval. The status shows Meta's answer: with Meta, approved, rejected (with the reason), or paused if recipients block it. PYLO checks every hour.
  • Once submitted, the words cannot change. Duplicate it to write a new version.

Marketing templates do not reach US numbers, because Meta pauses them there.
