Choose which recorder each kind of call uses, how long recordings are kept, whether Twilio and Recall.ai keep their copies, and how people are told.

Settings, Recorder is where an owner turns on PYLO's recorder and note taker and decides how it behaves. Recordings land in Recordings.

Which recorder each call uses

Pick one recorder for each kind of call, so a call is never transcribed twice:

• Dialer calls: PYLO, or not recorded by PYLO. The dialer records where the law allows (Settings, Dialer); PYLO then copies the recording, transcribes it with the rep and the lead on their own channels, and writes the notes.
• Calls booked on PYLO booking pages and calls booked through Calendly: PYLO's note taker, Fathom, another recorder (Fireflies, Gong or Grain), or none. With PYLO, a note taker joins the call's Google Meet or Zoom link a minute before it starts. Calendly's calls get one only when you choose PYLO for them.

If Fathom is still connected while PYLO records booked calls, the page warns you: turn Fathom off for those calls in Fathom, or both will record (PYLO only transcribes a call once, and never one another recorder already transcribed).

Nothing is recorded by PYLO until you choose it here. The server also needs its transcription and note taker keys; the page says when one is missing.

Keeping recordings

• Keep the audio and transcript for 30 days to three years, or until someone deletes it. One year is the default. At the end, the audio and the transcript are removed and the notes and the AI review stay.
• Also keep Twilio's and Recall.ai's own copies. Off by default: PYLO deletes them once its own copy is saved and checked, so they stop charging to keep them.

Telling people the call is recorded

• The note taker's name is what everyone on a video call sees. It must say it records, such as "PYLO Notetaker (recording)".
• The line in the booking confirmation goes in the confirmation and rescheduled emails of calls booked on PYLO booking pages, when that box is ticked.

Dialer calls play the disclosure set in Settings, Dialer wherever the lead's state or country needs it.

What it costs

Recording, transcription (both sides of a dialer call), keeping each minute for a month, the note taker's minutes on a video call, and the AI notes are paid from Credits. When credits run short, recordings wait and carry on after a top-up.
